An exciting opportunity has arisen for an enthusiastic and experienced Event Executive to join The Events Raccoon. We’re looking for a highly professional, but fun, creative individual to join our unique Events Management Agency providing a personal, dedicated and bespoke full-service event solution.

Based in Swindon, this is a part-time maternity cover role (18 hrs, 3 days per week). Initial term 12 months with possible option to extend to a permanent position.

The Events Raccoon is a growing business and the successful candidate will play an important role in supporting clients to help with their event requirements and to ensure all clients’ needs are met.

ROLE

Reporting to the Chief Amazement Officer, this Event Executive role will see you support the events team onsite, as an office-based role, to assist with all event logistics, delegate management and administration whilst making travel and accommodation arrangements as required.

Your main responsibilities will include:

  • Supporting the onsite events team as an office-based role to assist with all event logistics, delegate management and administration as required.
  • Venue sourcing (throughout the UK and Overseas).
  • Coordinating and arranging site visits.
  • Negotiating rates with venues.
  • Preparing proposals - giving multiple venue options to the client.
  • Liaising with hotels and suppliers and dealing with venue arrangements where required.
  • Assisting and contacting the contractors who are required at the events.
  • Assisting with speaker management.
  • Using the company database to create delegate lists, badges, delegate packs, feedback forms and speaker material for meetings.
  • Working closely and build relationships with suppliers, stakeholders and delegates.
  • Making travel and accommodation arrangements.
  • Liaising with clients to help with their event requirements and ensure all clients’ needs are met.
  • Liaising with Marketing and PR teams.
  • Promote the events.
  • Monitor the expenditure of the events.
  • Administration support.

 

YOU

As an individual you will be required to:

  • Act as an ambassador for the company.
  • Set and meet deadlines given.
  • Attend FAM trips to develop product knowledge.
  • Keep updated on venue and industry trends.
  • Be well spoken with good communication skills.
  • Work well under pressure.
  • Maintain good prioritisation skills.
  • Be confident on all Microsoft packages.
  • Be analytical and able to analyse data.
  • Have great organisational skills.
  • Work with confidence.
