The objective:

We were appointed by CAMSS World, an event facilitating company for IT business leaders who deliver events in Canada and the UK, to deliver an end-to-end event management solution for their UK event in May.

From initial conversations with the client, the requirement for additional marketing support to help raise the profile of CAMSS World became apparent. Leaning on our relationships within the industry, we introduced Capella Synergy as a strategic partner to deliver a digital marketing solution to support in raising the brand profile and together would work collaboratively to maximise the onsite social media engagement.

Due to the nature and level of the attendees expected, professionalism throughout the entire process was key.

How it was done:

We implemented a 3-month project plan that was to include regular project meetings with the client and strategic partners, providing updates on the event logistics.

The Royal Horseguards had already been contracted, however to ensure the client could focus on the attendees, we took over the liaison with the venue, attended site visits and oversaw all event logistics to ensure delegate safety and smooth running of the event.

A clear communications plan ensured delegate communications was clear and concise to ascertain registration details. Through the support of AV supplier Insight, we implemented an effective technological solution.

We produced all signage, pop-up banners and name badges as well as full management of all sponsors. Collating sponsors stand specifications and pre-event communication for the logistical set-up.

The outcome:

With 100+ delegates and a packed agenda split into panel sessions, roundtable discussions and boardroom briefings, the ease of movement of delegates between rooms at the venue was crucial. Following various site inspections, we were able to work with the team at The Royal Horseguards, gain an understanding of the logistical requirements to ensure we delivered a seamless event.

Due to the nature of the venue, the production team was challenged with the set-up of the staging area. Knowing there could be a potential issue with set-up time, we negotiated access to the venue the evening prior, free of charge, which allowed more time for installation.

The event was a huge success and a key piece of feedback from the client was that they were able to spend time with networking with their attendees and not have to worry about the event management throughout the day. They saw the value in our work and as a result, made the decision to extend our contract to deliver their Vancouver event in September, and Toronto in October.
